LVI Registration Instructions

Registration

  • Email notifications are sent to contacts on the mailing list when registration opens up including links to:

    • HDLVI TeamSnap Video Tutorials

    • Tournament Information

    • Step-by-Step – TeamSnap Registration Procedures

    • TeamSnap FAQ’s

    • Player Roster Information

    • Team Management Using TeamSnap

    • HDLVI Roster Change Request Form

    • Conduct Form

    • TeamSnap registration – process flow chart

    Anyone visiting the HD Web site could navigate to the LV Tournament page to access all tournament-related links and documents.

    Interested teams respond by:

    • Completing necessary TeamSnap registration and roster forms

    • Individual roster members (or parents) receive TeamSnap invitation

    email (NOTE: this is where the email messages were not always delivered because they were treated as spam. Users needed to whitelist various TeamSnap email addresses and invitations needed to be resent.)

    Submitting Roster Change Form if any non-rostered players were invited

    Mailing check for entry fee (except teams belonging to organizations that pay on their behalf)

    • HD updates TeamSnap info upon receipt of check so it shows $0 balance due

    12th-grade teams only – upload Conduct Form via TeamSnap (or email file, mail hardcopy)

    Emailing or phoning HD with questions (many of these could be avoided if the team rep/coach would read the instructions and/or supporting documents) or to advise us that they submitted the forms (they probably just want to make sure we received them even though TS already sent them a confirmation message).

  • Team and roster information is reviewed

    • Team rep/coach who registered is contacted to clear up any discrepancies in the team information

    • Parent of youth player/adult player is contacted to clear up any discrepancies in player information

    • Verify team rosters against official league rosters

    (NOTE: This results in a lot of email exchanges!)

    HDLVI Tournament Committee reviews team registration/player info and selects teams to invite (this usually happens in 3-5 rounds as gym space is confirmed and until all spots are filled).

    A formal invitation is emailed to selected teams with assigned Team Tracking # and instructions to complete the following:

    • Mandatory - RSVP (submit RSVP form) & Roster Verification (via TeamSnap) - Very often team reps do not follow instructions and email to confirm acceptance instead of completing the form which they end up having to do anyway

    • Optional - Submit T-shirt Order Form with payment by mail (electronic payment?)

    • Optional – Submit Sponsorship Form with payment by mail (electronic payment?)

    • Optional – Reserve hotel room(s) using HD group rates
